Manage Learner Groups

Learner groups help you organize learners at scale, making it easier to assign, manage, and analyze learners without handling them one by one.

What are learner groups?

Learner groups allow you to organize learners into meaningful categories (for example, teams or departments).

They exist to:

  • Manage large numbers of learners more efficiently

  • Avoid inviting and organizing learners one by one

  • Quickly filter and analyze learner data

  • Improve reporting and tracking of results

How to access learner groups

The Learner groups are available from the Learners tab. To do so, click on the Learners tab -> and select the Groups option.

Note: The Learners and Groups tabs are only visible to the organization's admins.

How to create a Learner group

You can create a group in multiple ways:

From the Groups tab

  1. Go to the Learners tab β†’ Groups.

  2. Click on the +Create Group green button located on the right side.

  3. Enter a group name.

  4. Click on Create.

From the Learners list

  1. Go to the Learner Management tab.

  2. Click on the + Add to the group option next to the learner's name.

  3. Select the +Create group button and provide the name for it.

  4. Click on Save.

During learner invitation

  1. Go to the Learners tab and click on the +Add Learner button.

  2. Select the +Choose the group option.

  3. Click on Create Group.

  4. Enter the name for the group, and click on the Save button.

How to add learners to a group

You can assign learners to groups in different ways:

From the learners' list

  • In the Learners column, click on the +Add to Group button next to the learner's name.

  • Select one or multiple groups and click on Add to groups to confirm and save the changes.

Note: You can also bulk add multiple learners to a group from the learners' list by ticking the checkbox located on the left side of their name -> then click on the Add to group button and select one or more groups.

During invitation

You can also add learners to a group when sending the invites. To do so:

  1. Click on the Add learners button.

  2. Select the Choose the Group option, and click on one or multiple groups.

  3. Add the learner(s) emails and send the invitation.

Note: Invited learners will automatically belong to the selected group(s) once they accept.

How to remove a learner from a group

You can remove learners directly from the learner list by hovering over the group name in the Groups column and selecting the X icon to remove the learner from the group.

Note: The learner will remain in the organization but will no longer belong to that group.

How to delete a group

You can also delete groups that are no longer needed. To do so:

  1. Go to the Learners tab β†’ Groups.

  2. Open the three-dot menu located on the right side of the Groups list.

  3. Click Delete Group β†’ Read the important information and confirm the action.

Note: Deleting a group does not remove learners from the organization. It only removes their group association.

Filter learners by group

You can filter the learners' list based on the groups they belong to in order to search for them faster.

  1. Go to the Learners tab

  2. Use the filter by group option and choose an option from the dropdown list to look for the results.

Note: The available filters are as follows

  • With Group – learners assigned to at least one group.

  • Without Group – learners with no group.

  • Specific group – learners in a selected group.

How to filter results by learner group

You can filter learner performance by group from the Gradebook under the Learners results tab. To do so:

  1. Open a course and click on the Learners results option from the three dots on the right side corner.

  2. Click on the Gradebook tab and use the Groups filter.

From there, you can:

  • Select one or multiple groups.

  • View results only for those groups.

  • Combine group filters with other filters.

  • Remove filters at any time.

Note: The group filters also apply when sharing the results via the link from the Share reports option.
