Manage Course Status

Course status helps you track where each course is in its lifecycle—from creation to publication and beyond.

What are course statuses?

Course statuses represent the current stage of a course. They help you understand whether a course is still being created, under review, published, or no longer in use.

They exist to:

  • Improve visibility across all courses

  • Support collaboration between authors and admins

  • Enable structured workflows (e.g., review and approval)

  • Help you quickly find and manage courses

Available course statuses

You can assign the following statuses to a course:

  • Draft – The course is still being created

  • In Review – The course is under review

  • Ready to Publish – The course is finalized and ready for publishing

  • Published – The course is live and accessible to learners (the link was generated or the course was exported)

  • Unpublished Changes – The course has been edited after being published

  • Archived – The course is no longer active

💡 The new courses created will automatically start as Draft.

Note: The Unpublished Changes status is only available after a course has been published at least once.

View course status

You can see the status of each course directly in your Courses list from the:

  • My Courses

  • Shared Courses

  • Organization Courses

  • Group Courses

Each course shows its current status at a glance.

Note: When hovering over the status, you can see:

  • Who set it

  • When it was set

  • Publishing method (for published courses)

Important: The courses created before this feature will show No Status until updated.

How to change the course status

You can update a course status at any time.

From the course list

  1. Go to any courses tab (i.e., My courses, Shared courses, etc)

  2. Click on the current status of the course that appears below the course title.

  3. Select a new status from the dropdown.

From inside the course editor

  1. Open the course

  2. Locate the status next to the course title at the top bar.

  3. Click it and choose a new status.

You will get a confirmation message after updating the status, and our tool will record who made the change and when.

Automatic status changes

Some statuses will update automatically based on your actions:

  • When you publish a course → the status becomes Published

  • When you edit a published course → the status becomes Unpublished Changes

💡 If you open a published course, you’ll see a banner reminding you that the course is live before making changes.

How to filter courses by status

You can filter your courses' list to quickly find what you need. To do so:

  1. Go to the Courses tab

  2. Use the status filter and choose one of the available options from the dropdown (i.e., No status, Draft, In review, etc.)

  3. The courses' list updates instantly based on your selection.

How to bulk change a course status

You can update multiple courses' statuses at once by:

  1. Selecting multiple courses from the course list (hover over the course and tick the checkbox on the left side)

  2. Clicking on the Change Status button from the action bar at the bottom

  3. Choosing the new status

All selected courses will be updated, and a confirmation message will appear.

How does the status work for multilingual courses?

For multilingual courses, the status applies to the entire course—not individual language versions.

  • If you change the status from a language version (child course), you’ll see a confirmation message

  • Confirming the change updates the status for the whole course

  • Canceling keeps the status unchanged

Publishing restrictions (admin-controlled)

In some organizations, only admins can publish courses. If that happens, please have in mind that:

  • Authors with the Member role won’t be able to select the Published status.

  • Instead, they can use Ready to Publish.

👉 In this case, if you are a member, you should mark the course as Ready to Publish and contact an admin of your organization.
